Notes from October 3, Full Meeting

Okay, here are the latest notes from the meeting. We met with all cottage representatives as well as the 5 main SGA members.

I. When should open meetings be?

a. Mondays at 7:45 in 310

b. VP is the only one required to attend

c. Cottage reps will let everyone know about them

i. Ashley – acoke@jkccs.com

II. End of year thing

a. NOT ANYTHING EDUCATIONAL

b. Should include everyone (juniors and seniors)

c. Like Dollywood

i. We could do Dollywood again, but it might not be as fun for a second time

1. Might be a safety/liability issue

a. (Probably okay since we did it last year)

2. Maybe just the juniors could do it

ii. Dollywood Splash Country

iii. Spend a day in Gatlinburg?

1. We could eat lunch together than have free time to walk around

iv. Six flag or Cedar’s Point?

1. We could do Six Flags Georgia or Louisville

2. May be too far away

3. Or there could be an issue with crossing state lines

d. Juniors and seniors could have separate trips if the juniors want to

e. We could put it on the survey

III. Cottage reps: issues?

a. People are stressed over work

b. Cottage 314’s dryer doesn’t work

i. More of a housing problem, not SGA

c. Cottage 313 wants a dance in their cottage

IV. T-Recs on Saturdays?

a. Could only be a van full

i. Few chaperones would want to take people

b. Possibly we could do shifts for different parts of the day so more people could go

c. We’d have to have more than two vans of people to get the bus

d. Reps will ask cottage members if they’d be interested in going and cottage personnel if they’d be willing to take people

i. We’d have to accommodate for art and music lesson people

ii. Maybe the shift thing would come in then

V. SGA blog

a. We need to keep it updated

b. Secretary will email everyone meeting notes, president will post them

c. We’ll print something about it in newsletter so students know about it

VI. Clubs

a. Margaret was supposed to make sign-up sheets… obviously that’s a problem

b. Shuvam or Ethan will take over now

i. They’ll be ready by Monday

ii. We’ll distribute the club sign-up sheets at module so everyone gets them

c. Sign-up sheets will include:

i. Sponsor

ii. List of activities the club will do

iii. At least 5 members

iv. Purpose

v. First (tentative) meeting time

d. The sheets will be distributed Wednesday and completed by and collected the next Wednesday

VII. SGA members need to email Shuvam with ideas of their powers/responsibilities for the charter

a. Specifically, what about Jay?

b. He will have a draft ready by next weekend

September 16 SGA Notes

I. Suggestions from students
    A. How do they get on newsletter?
    B. Prom at a local high school
    C. Talent show?

      i. Are we doing another Oak Ridge dinner/show?

    D. Bye days

      i. Vetoed by Ms. Suddath

    E. Personal computers

      i. Not going to change
      ii. Students should stop complaining or there will be consequences
      iii.Not everyone has personal laptops so it’s not fair

    F. Downloads
      i. See letter posted on blog
        a. We need to get the email addresses of the juniors so they can be added to the blog

      ii. Come up with a list of requested downloads (4, specifically Firefox add-ons)
      iii. Talk to your house reps about problems un-downloading stuff




II. Other issues
    A. Graduation
      i. Maybe in Cox auditorium?
      ii. We need to get caps and gowns.

        a. Probably not school colors
        b. Instead red, white and blue (TN flag colors)

      iii. No valedictorian
      iv. There will be some sort of speech made though

    B. Clubs
      i. We need to make an announcement about them during module time
      ii. Margaret will have a form ready by Wednesday
        a. What’s the name
        b. What’s the purpose
        c. Who’s the sponsor
        d. How many people would be interested

      iii. Minimum 5 people?
      iv. Some clubs can have requirements
        a. Example: Sports club members must have a certain amount of physical activity

    C. Yearbook
      i. Seniors-only/two-year yearbook?
      ii. Digital yearbook?
        a. Given out in disks
        b. Yearbook/photography club
        c. We can probably use the same software as for newsletter
          1. Hard to learn though
          2. We may need to find a new program

          ¤Must be free!

    D. Charter
      i. Shuvam made a rough draft
      ii. Basically says how SGA members are elected
        a. President, Vice President, Secretary and Treasurer positions are only open to seniors and are voted on by the whole student body
        b. Personal Assistant to the Sud-Muffin will be appointed by sponsor
        c. Representatives can be juniors or seniors and are voted on by the students from their cottage

      iii. He also outlined his own powers
        a. Still need to be revised a bit
        b. Other members need to think of their own powers/responsibilities too

      iv. The sponsor (currently Ms. Suddath) can override anything in the Charter

    E. We could have a specific SGA wall/bulletin board
      i. Students would go there for information and minutes

    F. T-Recs on Saturdays
      i. Sign-ups on Wednesday
      ii. Hall directors would have to drive
      iii. We’d have to have only one sign-up sheet in a central place
        a. But we need to make sure everyone knows about it
        b. Reps should write on the board

      iv. Talk to your individual hall directors

Reps Comp meeting info

Computer Information so far.


TGA and OIT have a computer policy that states: Nothing is to be downloaded onto the government laptops provided to you by the Tennessee Governor’s Academy.


This is not a rule that was made to be enforced only towards TGA. It is a general policy that OIT has for its laptops. If we wish to continue to be allowed to use these laptops, we must respect their wishes and refrain from downloading anything other than the original applications onto University of Tennessee property.


However, despite this Mr. Matthews is currently working with OIT to gain the TGA student body (us students) some leniency in allowing us to download a few minor programs. As of Thursday September 18, 2008 we are not allowed to download anything regardless of the efforts of Mr. Matthews on our behalf.


It has been requested that all downloads be removed from the computers before the next OIT computer check which will be random (you will not be informed of when it shall be until the morning of). If you have any problems removing anything from your computer, please approach your Cottage Representative with your concerns. Mr. Matthews has asked that students do not send him e-mails regarding computers. That is what the Cottage Reps are for.


At a time that is to be determined on a later date, the Cottage Reps will be meeting again with Mr. Matthews about the computers, so please inform your Representative as soon as possible. Also, the Reps and Mr. Matthews are trying to arrange a meeting between the Reps and OIT to discuss potentially allowing TGA to download yahoo messenger and add-ons for Firefox (themes, toolbars, etc.). Be sure to give a SMALL (Meaning 4 at the most. This may be changed later.) list of add-ons you might want to have to your Reps.

09-16-08 SGA Minutes

I. Piggybacking on a prom?

a. It could be optional

b. Hard to organize, logistics issue

c. Could just make sure people can get to home schools

i. Give that option first, talk about piggybacking only if people don’t like it

ii. Possibly include in survey

II. We need to find out if people can stay here during breaks

a. Some of the hall directors live here all the time, just not on duty

b. Only for due reason (abusive home life, missed school for illness and have to catch up on hw)

III. Impeachment

a. For cottage reps:

i. Signed petition (with stated reason) approved by hall directors and all but two of student residents

IV. No voting by SGA on any issue unless Reps are present

V. Specific powers

a. President: calls, presides over, arbitrates among dissenters, and adjourns meetings

b. Secretary: keeps meeting minutes

c. Representatives: informs juniors of open meetings (and everything else)

i. Possibly we should include the idea of open meetings in our survey

ii. Should have rep-only meetings to make sure cottages are equally informed

VI. TRecs on Saturdays

a. Can we arrange someone to take us?

b. Sign-up sheet (must be signed up by Wednesday) so we know whether or not to schedule a bus

VII. $5 monthly dues from all SGA members for food every other Friday meeting

VIII. Shuvam (as president) should be the only Admin on the blog

a. Ms. Suddath and all SGA members will all be authors

b. Other students will be members, who can view the blog and post comments

IX. Clubs

a. SGA must approve club requests

i. Suggested so far:

1. Art

2. Environmental

3. Intramural

4. Tech Team

a. Will hold open auditions

b. All clubs must have sponsors

c. Margaret will make up club submission-forms

i. To be reviewed by Gina and Shuvam

ii. We’ll set a due date for the latest day club forms can be submitted

a. At least some hall directors have links

b. We need to check to make sure everyone does
